Set up your gym’s website assistant with clear checkpoints: what you prepare, what you publish, what you test, and what your staff do next.

Step 01 / Onboarding / Gym Profile
Prepare your workspace and gym facts
Sign in as an owner or admin and create or resume your gym workspace. Gather your gym description, membership and pricing guidance, opening hours, classes and services, and staff notification email.
Check that these details are accurate and that someone monitors the notification address. You also need an HTTPS website that you or your website administrator can edit, and current workspace access.
Checkpoint: You have the five essentials, a staff contact, and permission to edit the website. Starting a workspace is not the same as going live.
Step 02 / Gym Profile
Review and activate gym knowledge
Complete the five essentials, add useful FAQs, and set your assistant tone in Gym Profile. Save a draft while you are still checking the facts. When they are ready, choose Save & activate AI.
Saving a draft is not activation. Knowledge approval makes the gym information eligible for replies; it does not install or enable your website widget. Keep pricing and opening hours up to date after launch.
Checkpoint: The profile reports active AI knowledge. Your team has approved the information, not just filled in the form.
Step 03 / Assistant Behavior / Website Widget
Publish behavior and rehearse the answers
In Assistant Behavior, choose your conversion goal, qualification questions, required contact fields, and staff handoff guidance. Publish the behavior you want the assistant to use.
Use the Website Widget settings preview to rehearse a membership question, a missing-fact question, and an intro request. Preview does not save customer conversations, create leads or intro requests, or send notifications. It cannot prove a real handoff works.
Checkpoint: Published behavior fits your staff process. Answers use approved facts and leave intro requests pending staff confirmation. Tone is set in Gym Profile, not Assistant Behavior.
Step 04 / Website Widget
Publish appearance and install your own snippet
Set the assistant name, welcome message, colors, and launcher position, then choose Publish appearance. Add each approved website hostname on its own line. Copy your workspace’s snippet and give it to the person who edits your site.
Paste the snippet once before the closing body tag on the pages where visitors should see it. example.com and www.example.com are separate hostnames; wildcard domains are not supported. Do not copy another gym’s snippet or an illustrative placeholder.
Checkpoint: Appearance is published, exact hostnames are entered, and the website contains your current snippet. Publish appearance does not save installation settings or activate knowledge.
Step 05 / Website Widget / Your actual website
Enable, save, and test the installed assistant
When ready to test on your website, turn Enabled on and choose Save installation. Replies require activated knowledge and current access; the website message allowance also applies. Open the approved HTTPS site on desktop and mobile.
Try the launch checks below with your own test contact details and consent. Unlike preview, this is a real website conversation: it can save a transcript, create a lead or pending intro request, and notify staff. Tell your team which enquiry is a test.
Checkpoint: You have checked an actual website enquiry, its inbox record, and the expected staff notification. A launcher or “Detected on” status alone is not proof of a completed conversation or handoff.
Step 06 / Dashboard inbox / Your agreed contact method
Give staff a follow-up routine
Choose who checks new enquiries and the notification mailbox. Review the conversation, confirm the visitor’s requested next step, and follow up through the agreed email or phone contact method.
Staff confirm availability and arrange intro sessions; the assistant records requests, not confirmed bookings. Website conversations do not currently support live staff replies in the widget or per-conversation AI pause. Pause controls are Instagram-only.
Checkpoint: A named team member owns follow-up. Keep watching replies, gym facts, workspace access, and message usage after launch.
Before you call it launched
Test the reply.
Then test the handoff.
This is a checklist, not a live demo or proof that your gym is configured. Run it on your installed assistant using your own test contact details. Live-site tests can create records and send emails; preview cannot.
An approved answer
Ask about opening hours or a membership option. Compare the reply with the information your gym approved.
An unknown answer
Ask for a detail you have not supplied. Check that the assistant acknowledges the gap instead of inventing a price, offer, or class.
A consent-based enquiry
Use your own test details. Confirm the required contact information and consent, then check the saved enquiry and expected notification email.
A pending intro request
If intro requests are enabled in your behavior settings, ask for a visit. Check that the request remains pending and no calendar reservation is promised.
An inbox and mobile check
Find the actual website transcript in the dashboard inbox. On a phone, check that the launcher, chat, and close control are usable without covering essential website content.
If a checkpoint fails
The launcher does not appear
Check the current snippet, HTTPS, every exact hostname, Enabled and Save installation, active gym knowledge, and workspace access. Ask your website administrator whether the script is loading or being blocked by the site.
Preview works, but the website does not
Preview is an authenticated rehearsal, not an installation check. Test the installed widget on the actual approved hostname; check access and message usage in the dashboard too.
An enquiry did not reach staff
Check whether required contact details and consent were actually confirmed, look for the saved enquiry in the inbox, and verify the staff notification address and mailbox. A conversation by itself is not proof that a lead was saved.
We need to stop website replies
Turn Enabled off in Website Widget settings and choose Save installation. This is a website-wide control, not a per-conversation staff takeover. It does not stop an Instagram channel.
Still stuck? Email setup support with the checkpoint that failed. Never send passwords, provider tokens, or customer transcripts.
